Reservations & payment

  • A submitted form is a request, not a confirmed reservation.
  • A reservation is confirmed only after Trackside approves the requested time and provides payment instructions or written confirmation.
  • Payment is due according to the confirmation provided by Trackside.
  • Rental time includes setup and cleanup. Groups must leave by the end of their reserved period unless Trackside approves additional time.
  • Prices and availability may change before a reservation is confirmed.

Cancellation & rescheduling

  • Requests made at least 24 hours before a reservation may be moved to another available time or receive a facility credit.
  • Requests made less than 24 hours before a reservation, and no-shows, are not guaranteed a credit or refund.
  • If Trackside closes the facility or cancels a program, the customer may reschedule or receive a credit or refund for the canceled service.
  • Weather, travel, and emergency situations are reviewed individually.

Waivers & minors

  • Every participant must have a completed Trackside waiver before entering a cage, training area, lesson, league, camp, clinic, or other activity.
  • A parent or legal guardian must complete the waiver for a participant under 18.
  • Coaches, team managers, and renters are responsible for confirming that every participant in their group has completed the required waiver.
  • Minors must be supervised by a parent, guardian, coach, instructor, or other responsible adult approved by Trackside.

Keypad entry & access

  • Keypad access is provided only for confirmed reservations or other access approved by Trackside.
  • Entry codes are private, nontransferable, and may not be shared outside the approved group.
  • Access is limited to the confirmed reservation time and approved areas.
  • Doors must remain closed and secured. The last person leaving is responsible for confirming that the facility is secure.
  • Trackside may change or revoke a code when it is shared, misused, or connected to an unpaid or unauthorized visit.
  • “24/7 access” means flexible access for approved and confirmed users; it does not guarantee that every requested time is available.

Safety, equipment & cleanup

  • Participants use the facility at their own risk and must follow posted rules and directions from Trackside staff or instructors.
  • Appropriate protective equipment should be used. Helmets are strongly recommended during live pitching or pitching-machine use.
  • Only authorized adults or trained users may adjust or operate pitching machines and other facility equipment.
  • Horseplay, fighting, climbing on nets, hanging from equipment, and intentionally directing balls outside training areas are prohibited.
  • Closed-toe athletic shoes are required. Metal cleats require advance approval.
  • Food, gum, tobacco, vaping, alcohol, illegal drugs, and glass containers are not permitted in training areas.
  • Return equipment, remove personal items, dispose of trash, and report damaged equipment before leaving.
  • The person who books the facility is responsible for damage caused by their group beyond ordinary wear. Trackside is not responsible for lost or unattended property.

Teams, instructors, camps & parties

  • The organizer is responsible for attendance, participant supervision, conduct, and compliance with Trackside rules.
  • Outside instructors and program partners must be approved before conducting paid instruction or organized programs.
  • Trackside may require proof of insurance, background screening, certifications, or an additional agreement before approving an instructor or program.
  • Event decorations, food, setup, and cleanup plans must be approved in advance.

Apparel orders

  • An order is final only after Trackside confirms the item, size, color, quantity, price, and payment method.
  • Custom or ordered merchandise may be nonrefundable unless it is defective or Trackside supplied the wrong item.
  • Product colors and sizing may vary by brand or screen display.

Privacy & form information

  • Trackside collects information used to answer inquiries, schedule services, administer programs, process orders or payments, document waivers, and communicate with customers.
  • Forms are intended to be completed by adults, parents, guardians, coaches, or team organizers. Children under 13 should not submit personal information directly.
  • Trackside forms may use third-party services such as Google Forms, which process information under their own privacy terms.
  • Trackside does not sell customer information.
  • Waiver, booking, payment, and program records may be retained for business, insurance, safety, or legal purposes, and only as long as reasonably necessary.
  • A parent or customer may email Trackside to request access to or correction of information, subject to records Trackside must retain.
  • Photos or videos identifying participants are used for marketing only with appropriate permission.
